Privacy Policy

1. Introduction

CargoM (the Metropolitan Logistics and Transportation Cluster of Montreal) is committed to protecting the confidentiality of the personal information it collects in the course of its activities. This policy describes how we collect, use, retain, and protect your personal information, in accordance with Québec’s Law 25 and applicable Canadian laws, including Canada’s Anti‑Spam Legislation (CASL).

2. Personal Information Collected

We may collect the following information:

  • First and last name
  • Professional email address
  • Organization and job title
  • Telephone number (if provided)
  • Communication preferences
  • Participation in our events, working groups, committees, and surveys
  • Interaction history with our communications (e.g., opens, clicks)
  • Information voluntarily provided via our HubSpot or Mailchimp forms

We collect only the information necessary for the purposes described in this policy. We do not use any automated decision‑making process that produces legal or otherwise significant effects.

3. Platforms Used for Data Management

CargoM uses two external platforms to manage its communications:

HubSpot, used for:

  • Sending the monthly newsletter
  • Contact management
  • Registration forms
  • Communication automation
  • Performance analysis

Data may be hosted on servers located in the United States or in other jurisdictions. HubSpot applies robust security measures (encryption, SOC 2 and ISO 27001 certifications).

Mailchimp, used exclusively for:

  • Sending the daily media monitoring bulletin
  • Managing media monitoring subscribers
  • Analyzing campaign performance

Data is also hosted in the United States. Mailchimp complies with international security standards (SOC 2, ISO 27001).

CargoM selects these service providers for their reliability, security, and compliance with industry best practices.

4. Purposes of Collection

Your personal information is used to:

  • Send you our monthly newsletter (via HubSpot)
  • Send you our daily media monitoring bulletin (via Mailchimp)
  • Invite you to events, working groups, and committees
  • Manage your membership or participation in our activities
  • Respond to your information requests
  • Improve our communications and services
  • Produce internal statistics

We never use your information for purposes other than those stated without your consent.

5. Consent

Your consent is obtained in a clear, free, and informed manner, notably when:

  • You complete a HubSpot or Mailchimp registration form
  • You confirm your registration (double opt‑in)
  • You participate in an event and choose to receive our communications
  • Your member organization provides us with your contact information with your consent

You may withdraw your consent at any time by using the unsubscribe link included in each communication or by contacting us directly.

6. Disclosure to Third Parties

We may share your information with:

  • HubSpot (newsletters and general communications)
  • Mailchimp (media monitoring bulletins)
  • Partners involved in our projects, when necessary

These third parties are required to protect your information in accordance with Law 25 and their own security standards.

We never sell your personal information.

7. Retention and Security

Your information is retained only for as long as necessary to fulfill the purposes for which it was collected.

Security measures applied include:

  • Encryption of data in transit and at rest
  • Strict access controls
  • Continuous monitoring
  • Access limited to authorized employees
  • Secure internal data management practices

8. Photographs and Video Recordings

During certain events, activities, meetings, or committees organized by CargoM, photographs or video recordings may be taken for purposes of:

  • Documentation
  • Institutional communications
  • Promotion of sector activities

These images may be used in our internal or external communications (newsletter, website, social media). These recordings are based solely on our legitimate interest, and your consent is implicit upon participation in CargoM activities.

If you do not wish to appear in these images, you may inform a member of our team on site or contact us.

9. Paid Registrations

Some CargoM events or activities may include registration fees. Credit card payments are processed through a secure external payment platform. CargoM does not receive or store any credit card information.

If payment is made by bank transfer or cheque, we may collect the information necessary to process the transaction.

10. Cookies and Audience Measurement

Our website may use cookies to:

  • Improve the user experience
  • Measure website audience and performance
  • Analyze page usage and optimize content

The data collected is technical (e.g., browser type, pages viewed) and does not directly identify you. When required, consent is obtained before using non‑essential cookies.

11. Data Transfers Outside Québec/Canada

Some personal information may be processed or hosted outside Québec, notably through HubSpot and Mailchimp. CargoM conducts a Privacy Impact Assessment (PIA) before any transfer of personal information outside Québec.

These service providers are bound by contractual agreements that include personal information protection clauses.

These jurisdictions may be subject to different data access laws. CargoM contractually requires its service providers to apply security and confidentiality measures that comply with Law 25.

12. Your Rights

You have the right to:

  • Access your personal information
  • Request correction of your personal information
  • Request deletion of your personal information where permitted by law
  • Withdraw your consent
  • Obtain information about the use of your data
  • Receive your personal information in a structured and commonly used technological format (right to data portability)

13. Person Responsible for the Protection of Personal Information

In accordance with Law 25, CargoM has appointed a person responsible for the protection of personal information.

Anyone may file a complaint regarding the protection of their personal information by contacting the person responsible. If the response is unsatisfactory, a complaint may be submitted to the Commission d’accès à l’information du Québec.
